Schedule: Monday-Friday, 8:00 AM to 5:00 PM 
Wage: $19.00-$20.00/hr. 

SUMMARY: The Accounting Coordinator will perform various duties within the Accounting Department including assisting with month-end and quarter-end royalty tasks, maintaining and importing new product and license information, account reconciliations, data entry, and supporting other office duties.  

ESSENTIAL DUTIES AND RESPONSIBILITIES 
Include the following. Other duties may be assigned as necessary.

  • Assists with the new license set-up process in Apprise to ensure Royalty Enterprise Resource Planning (ERP) protocols support meeting contractual obligations.

  • Manages the royalties email inbox to ensure timely follow-up and resolution to licensor and royalty-related inquiries and requests.

  • Assists in preparing internal royalty reports each month and external (licensor) royalty reports quarterly by their scheduled due dates to ensure timely, accurate, and properly supported quarterly payments.

  • Updates Licensor Royalty Reports and customized licensor reports before uploading to each online licensor portal.

  • Performs month-end reviews and updates/maintains royalty information: license merchandise codes, character codes, property field, royalty classes, weekly expired licenses list, monthly inactivation process, Marvel character breakout review, and other reviews as required.

  • Maintains adequate training and cross-training in all areas of assigned responsibility on the annual training plan, reviews and updates (if applicable) documentation related to assigned royalties and item maintenance tasks, and signs off on assigned primary and backup tasks.

  • Completes month-end tasks assigned on a checklist.

  • Manages the inventory of office supplies and initiates, receives, and ensures payment for orders.

  • Assists with special projects, ad-hoc account reconciliations, and analysis as assigned.

  • Provides coverage as a backup for Royalty Specialist as needed.

The following tasks will change or no longer be included in the job duties for this position once our new PLM (Product Lifecycle Management) software (Centric) is implemented – expected mid-to-late 2024: 

  • Monitors Wrike project management software to ensure item maintenance and PMF requests are timely and accurately addressed, verified, and uploaded (as applicable) in accordance with data integrity rules, as well as exporting data from Microsoft Access to ShareFile.

  • Coordinate with appropriate departments to maintain the Item Descriptions Segmentation document as new molds, licenses, lines, materials, capacity or colors are created.

  • Run various product reports from the ERP system; Export into Excel and publish reports to ShareFile daily or as needed.

  • Review reports from the Receiving Department for changes in weight, volume, pack sizes and dims. Updates ERP system as needed.

  • Review key attributes of products quarterly to ensure consistency and that data integrity rules are followed. Creates import document for corrections and submits request for update.

QUALIFICATION REQUIREMENTS:

  • Education and/or Experience: Associate’s degree (A. A.) or equivalent from two-year college or technical school and one to two years related experience and/or training; or equivalent combination of education and experience. Someone looking to pursue a four-year degree in Accounting or related field a plus.

  • Language Skills: Ability to read and comprehend instructions, short correspondence, and memos. Ability to write correspondence, routine reports and procedure manuals. Ability to effectively interact in one-on-one and small group situations to customers, clients, and other employees of the company.

  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute discounts, interest, commissions, percentages, area, circumference, and volume. Ability to compute rate, ratio, and percent.

  • Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Other Skills and Abilities: Must be able to tactfully deal with various personalities throughout the company and deal effectively and professionally with internal and external customers. Must be proficient in utilizing computer programs for processing data and writing reports. Required program applications include: Microsoft Outlook (intermediate level), Microsoft Excel (intermediate level), Microsoft Word (intermediate level), 10-Key by touch and Oracle or Apprise ERP system. Requires operation of postage machine and other general office equipment.
